This page summarises how cancellations and refunds work. Service delivery
We sell travel services, not physical goods — nothing is shipped or couriered. On confirmed payment, your booking confirmation, GST invoice, and e-vouchers are delivered digitally (by email and, where you opt in, WhatsApp), normally within 24–48 working hours. Day-wise itineraries, permits, and travel documents are shared before departure as each is confirmed. Because there is no physical shipment, there are no shipping charges and no delivery timelines beyond these digital confirmations.
How to cancel
All cancellations must be sent by email to info@earthlygroup.in from the lead booker's registered email. The effective cancellation date is the date the email reaches us on a working day (Monday to Saturday, 10:00 to 18:00 IST); requests received outside working hours are processed on the next working day.
Cancellation charges — fixed-date group departures
Charges apply to the Total Tour Cost, net of non-refundable third-party costs (see below).

Non-refundable third-party costs
Some costs are paid to third parties on your behalf and are non-refundable once incurred, regardless of the grid above. These include airline and IRCTC railway tickets (per their fare rules), Kedarnath/Hemkund Sahib helicopter charges (IRCTC Heli Yatra), national-park and inner-line permits, peak-season hotel pre-payments demanded as 100% non-refundable advances, chartered transport, and travel-insurance premiums. On request we share documentary evidence of any amount retained.
Refund timelines
- Approved refunds are processed within 10 to 15 business days of cancellation confirmation, to the original payment instrument, per RBI guidelines.
- Payment-gateway charges, bank charges, FX conversion losses, and the 2.0% card convenience fee are retained.
- A GST credit note is issued under Section 34 of the CGST Act, 2017 where applicable. Cancellation charges retained are taxable at the tour-operator rate (currently 5% GST) per CBIC Circular No. 178/10/2022-GST.
- No interest is payable on refunded amounts.
Cancellation by the Company
If we cancel a fixed-date departure (for example, minimum group size is not met), we will offer an alternative of equivalent value or refund 100% of payments received within ten working days to the original instrument. Cancellation by the Company on safety, medical, fitness, conduct, or documentation grounds attracts no refund.
Force majeure
Where events beyond our control — landslides, cloudbursts, road closures, IMD alerts, government suspension or capping of a yatra, helicopter grounding, pandemics, or similar — prevent or alter a tour, no cash refund is payable. We will offer a reschedule or a non-refundable credit note for the unutilised land-package amount, valid 12 months. Full terms are in the Payment Policy, Clause 7.
